Organizational Communication: Success and Failure Essay

Another factor that led to communication failure in this scenario was completeness. The information sent through the email was not complete. Due to the short nature of emails there was a lot of important information that was omitted. The employees were left with so many questions such as the advantages of the new equipment, why the organization has chosen this equipment and if there will be any impact on their jobs if they embrace the equipment. Some of these things would be fully dealt with if there was a forum for discussion where the employees could ask any question they had (Mind Tools, 2009). A discussion will also enable the communicator to present all the information that the employees needed to know. This is what made most of the employees to resist and completely boycott the use of the equipment. The advantages of the equipment were not clearly stipulated to them. They were also quite unsure of what the equipment will mean in terms of their jobs and therefore they opted to stay away from them as they did not know the intentions of the organization ( Psychonomics,2003).

Poor communication skills by the procurement manager also made the communication failure in the scenario. Any communicator should to competent with the art of communication so that they can be bale to reach the various publics. The procurement manager did not research well on the most appropriate communication medium to use. If the communicator could have had good communication skills then he could have chosen the best mode of communication. From his choice we can conclude that this is someone who has poor communication skills as he avoided any personal contact with the employees when passing the message even when it is well-known that such information should have been conveyed in a face-to-face forum. Philip .2008).

Suggestions

The scenario is a case that requires proper mode of communication to be used so as to convey the message well. I would suggest that the procurement manager would have just sent emails to the employees inviting them for an open meeting.in this meeting it is then that he would inform the employees of the change, talk to them of the advantages of this change and how the change would occur.in the session there could also be a brief demonstration of how to use the equipment by doing all tis the employees would have all the information they need and ask any questions on anything they did not understand. The employees would also be encouraged to be open minded as they listen to the message being conveyed to them (Bolarinwa, & Olorunfemi, 2009). This will help them understand what is required from them by the organization and at the same time master the use of the equipment.

Conclusion

From the two scenarios we can say that communication is very important in any organization. Communication has the power of either breaking or making an organization. Effective communication is a key component of the success of organizations. Communication is a two way thing as both the communicator and the one who information is being conveyed to all have vital roles. They should both have good communication skills so that the process of communication can be effective. Another key factor for the successful communication is the medium used for communication .the choice of communication media is very important as it determines the effectiveness of communication. Managers should learn that choosing an appropriate tool for communication is vital for the communication process. Managers should ensure that they choice a tool that is most appropriate and which suites their audience. Without a proper communication media then the communication process will fail and the organization fails too.
